How do I import employees and data into the A-T-F Payroll program from QuickBooks 2001 ?
To import employees into the A-T-F Payroll program from QuickBooks 2001 or less, there are 5 steps that must be followed.
First, the import program must be installed. If this is not installed, you can install it by re-installing the 1099-Etc program. Make sure the QuickBooks Import Program is tagged on the Select Options to Install Screen and continue through the install process.
Second, start the A-T-F Payroll program and select the client you want to import the information into. From the A-T-F Payroll menu, select \"Options\", then \"Import and Export Options\", and finally select option B \"Import from QuickBooks for Windows\". This will display the final four steps to importing your QuickBooks data. These steps must be done in order. Select step number 0, \"Export from a QBooks QBW file to create IIF and TAB files to import.\" Next you will need to tell the program where you QuickBooks data file is located and the date ranges to import. Click the Start button to begin generating the files for import.
Third, \"Define the Xref of QuickBooks for payroll items/employee information.\" This is your Cross Reference file, it is used as a \"map\" so the information in QuickBooks gets put in the correct place in A-T-F Payroll. This is only used for employee information. The items in the A-T-F Name column are fields in the A-T-F Program. The Cat_Name column should contain the names of the fields in QuickBooks. The easiest way to fill in these Cat_Names is to click on the \"Open\" button, then select the IIF file to be imported; the IIF file contains the names of you QuickBooks Fields. The program will attempt to determine the best locations for your QuickBooks data. If you need to add or change an item, double click in a Cat_Name cell to display the list of available names, select the appropriate name and click on it. The Factor column is used mainly for Quicken as QuickBooks uses different fields for Employee and Employer Social Security and Medicare. Make sure these fields have a factor of 1.0000. If you notice at the top of the A-T-F Name column, you have eight rows labeled \"*Grosspay\" and then a single \"Grosspay\", anything listed as a \"*Grosspay\" will be added to the normal Grosspay.
Fourth, \"Import a previously created IIF file for employee information.\" This will import your employee names, addresses, social security numbers, etc. After the import is complete, go into input and verify that the employees were imported successfully.
Fifth, \"Import a previously created TAB file for transaction information.\" This will import the checks for each employee and you should see them listed on the screen. After the import, go into input and browse the employee’s cheeks and make sure the checks imported correctly.
